Your service techs and sales reps aren’t the bottleneck.

Your workflows are.

Most delays come from scattered systems, manual admin steps, and information buried in inboxes. Clean those up and your team will move a lot faster.

Why work feels harder than it should

  • Leads get lost because your process needs babysitting

In technician-dependent businesses, sales leads don’t fall through the cracks because reps are lazy. They fall through because your follow-up process depends on someone noticing the right email at the right moment.

    • a web form lands in the wrong inbox
    • a rep is in on a call when a quote request comes in
    • a voicemail sits until the next morning
    • your CRM gets updated only when someone remembers to do it

The results: slow response times, missed opportunities, and deals won by competitors who simply replied first.

  • Your team isn’t slow. They’re stuck hunting for answers

Field service and integration teams lose hours every week digging through manuals, old ticket notes, and Google results just trying to find the right fix. Nothing lives in one place, so every job turns into a scavenger hunt.

    • procedures buried in PDFs
    • part numbers scattered across emails
    • tribal knowledge locked in one senior tech’s head
    • troubleshooting steps that change by model or firmware

People are doing their best. But when the knowledge is scattered, every job takes longer, new techs struggle, and repeat visits become a fact of life.

  • Renewals slip because no one has a clean, current view of them

Most dealerships rely on renewals for steady revenue, but the details rarely live in one place. As reps get busy or roles change, contract information drifts, leaving managers guessing instead of knowing.

    • renewal data scattered across spreadsheets and inboxes
    • contracts orphaned when reps leave or territories shift
    • systems that don’t stay updated month to month
    • no reliable source of truth for what renewed or expired

The result is missed renewals, avoidable churn, and uncomfortable conversations when customers expect answers no one can confidently give.

Get rid of the bottlenecks that slow your reps and techs

  • Smart Lead Responder

We fix the bottlenecks that kill good leads by taking the babysitting out of your follow-up process. Your reps shouldn’t have to monitor inboxes, chase web forms, or try to remember who emailed what at 7:43 AM. Leads get handled instantly, routed correctly, and followed up with automatically.

Your AI reads incoming emails, web forms, and chat messages. It classifies the intent, replies instantly with a human-sounding message, and moves the lead into the right CRM stage or pipeline. Nothing sits in limbo and nothing waits for someone to notice it.

    • responds to real leads instantly
    • filters junk and service noise
    • routes inquiries to the right rep without manual sorting
    • updates your CRM automatically
    • gives reps summaries so they know exactly what’s coming in

It stops good leads from slipping away just because your team is busy serving customers.

  • Technician Support Copilot

We give your techs instant access to the knowledge they need so they stop guessing, Googling, or calling the senior guy for help. Every answer they need is in one place, tailored to your business instead of scattered across PDFs, emails, and tribal knowledge.

Your private AI Copilot is trained on your manuals, service bulletins, internal notes, and past fixes. Techs and dispatchers ask questions in plain language and the system responds with the correct procedure, part number, wiring sequence, or troubleshooting steps.

    • reduces average call time
    • cuts repeat visits
    • helps new techs perform like seasoned techs
    • centralizes all service knowledge in one place
    • triggers escalation or manager alerts when issues stay unresolved
    • captures field notes so your knowledge base keeps improving

It’s like giving every technician your senior tech’s brain, available 24/7, without pulling anyone off a job.

  • Contract and Renewal Intelligence

We keep your renewal data clean, current, and visible by automating the parts of the process that normally fall through the cracks. The system gathers updates from reps, reads contract details, and keeps everything synced so you’re never guessing what actually renewed last month.

AI monitors renewal windows, usage trends, and service patterns, then sends clean summaries to the right people before deadlines sneak up. Renewal conversations start earlier, and recurring revenue stops depending on spreadsheets and memory.

    • updates renewal changes through monthly check-ins with reps
    • tracks contract dates without manual upkeep
    • highlights accounts at risk or ready for refresh
    • delivers weekly renewal summaries to reps and managers

It’s the quiet engine that keeps your renewals predictable, organized, and protected month after month.

You don’t have time for another software rollout

Everything we build connects to the tools already running your business. CRM, ticketing, email, dispatch, scheduling, inventory platforms: the automations slot in quietly without forcing your team to change systems or learn new ones.

Why I Built TimeBack Workflows

Headshot of TimeBack Workflows founder

I spent 20 years in business-to-business sales, mostly working with service-heavy companies. And no matter where I went, the same problems kept showing up.

Good leads got missed because reps were buried. Renewals lived in half-forgotten spreadsheets that stopped matching reality the minute a rep left or a territory moved. Techs wasted hours digging for answers that should’ve been easy to find. Everyone was working hard. The systems around them weren’t.

I started TimeBack Workflows to fix that. My whole goal is to take the busywork off your team’s plate so they can focus on the stuff that actually grows the business.
